What's on the invoice
An invoice built for body shops
Sales tax on what's taxable
Enter your rate and tick the charges your state taxes: parts, labor, paint and materials, sublet or other charges. The invoice shows the taxable amount, the sales tax and the total.
Insurance jobs on one invoice
Turn on Insurance job and the invoice ends with the total, less the deductible the customer pays, and the balance due from the insurance company.
Body shop lines
Parts, labor, R&I, refinish and sublet on each line, typed in or by the hour, or one price for paint and materials, shop supplies, towing and storage.
Payment details and due date
When payment is due, and your bank details if you take transfers, with the invoice number to include with the payment.
Vehicle and claim details
Year, make and model, VIN, license plate, color and mileage, and the insurance company, claim number and adjuster or appraiser.
Nothing uploaded
Made in your browser. Your shop details, logo, rates, sales tax settings and invoice numbers are saved on your device for next time. The invoice itself isn't kept.
Invoices straight from the repair order
In PanelDesk the invoice is made from the repair order with every line already on it, you see when the customer opened it, record payments as they come in, and know what's outstanding without a spreadsheet.

What to put on an auto body invoice
The template puts all of this on yours. Rules vary by state, so check yours.
On every invoice
- Your shop's name, address and phone, and your license or registration number if you have one
- The customer's name, and the vehicle's year, make and model, VIN, license plate and mileage
- A unique invoice number and the date
- Each part and repair, with parts marked OEM, aftermarket, used or reconditioned
- The subtotal, any discount, the taxable amount, the sales tax and the total
- When payment is due, and how to pay
Insurance jobs: one invoice
The customer pays the deductible and the insurance company pays the balance. One invoice shows the total, the deductible and the balance, so everyone sees how the bill splits.
Sales tax: check your state
Which charges are taxable, and at what rate, depends on your state and sometimes your city or county. Set your rate and taxable charges once; they're remembered on this device. Our guide to pricing parts and paint and materials covers sales tax on parts and labor.
This is a guide, not legal or tax advice: ask your accountant about your own business.

Excel
An invoice spreadsheet that adds up the lines and the sales tax for you, with a tab to choose what's taxable. Opens in Excel, Google Sheets and Numbers.

FAQ
Auto body invoice questions
Quick answers about invoices, sales tax and the free template.
Yes, with no sign-up. Each PDF has a small "Made with PanelDesk" line at the bottom.
Your shop's name and contact details, the customer and the vehicle (year, make and model, VIN and mileage), a unique invoice number and the date, each part and repair, the subtotal, sales tax and total, and when and how to pay. The template prints all of it. Rules vary by state, so check yours.
It depends on your state: what's taxable on a repair, parts, labor or both, varies from state to state, and the rate can depend on your city or county. Tick Labor under Sales tax if your state taxes it, and the invoice adds it to the taxable amount. Check your state's rules.
Turn on Insurance job and enter the deductible. The invoice ends with the total, less the deductible the customer pays, and the balance due from the insurance company, so one invoice covers the whole job.
Then the customer pays the whole bill and the insurance company owes nothing. The invoice caps the deductible at the total, and the builder tells you it did.
The discount comes off before sales tax, shared across the taxable and non-taxable charges in proportion, so the tax is worked out on the discounted price. Rules vary by state, so check yours if you're not sure that fits.
Yes. In the free estimate template, press Turn this estimate into an invoice and everything carries across to this page on the same device.
Yes, if you take bank transfers: add your bank name, account name, account number and routing number under Payment details, and they print on every invoice. Leave them blank if customers pay by card or check.
Yes. Any vehicle repair invoice works: columns you don't use stay off the PDF.
No. The invoice is made in your browser. Your shop details, logo and settings are saved on your device only, and the invoice itself is cleared when you close the tab. You can clear everything with Forget my details.
